EduConvoy International Ltd is committed to protecting your privacy and processing your personal data responsibly. This policy explains how we collect, use, and safeguard your information in compliance with UK GDPR and the Data Protection Act 2018.

01Who We Are
EduConvoy International Ltd is a company registered in England and Wales (Company No. 16470979), with our registered office at Second Floor, Unit 4, Shonki Business Centre, Thames Street, Leicester, LE1 3WN. That address handles correspondence and is not a drop-in centre.
We are the data controller for the personal information you provide to us, and we process it in accordance with the UK General Data Protection Regulation and the Data Protection Act 2018. Our supervisory authority is the Information Commissioner's Office (ICO).

02Data We Collect
We collect only the information necessary to provide our consultancy services:
- Contact information: name, email address, phone number, country of residence
- Academic background: qualifications, transcripts, language test scores
- Financial information: only where required for university or visa applications
- Communication records: emails, WhatsApp messages, consultation notes
- Website usage data: IP address, browser type, pages visited
WHAT IS REQUIRED: your name and email address are required for us to respond to an enquiry. Every other field on our forms is optional, and leaving one blank only means our first reply will be less specific. Once you engage us for a paid service, academic and financial information becomes necessary to perform that contract; if it is not supplied we may be unable to continue with your application.
We do not collect special-category data (such as health, ethnicity or religion) unless it is directly relevant to a visa or application requirement. Where we do, our Article 9 condition is your explicit consent, given separately and in writing, and you may withdraw it at any time.
03Why We Use Your Data, and Our Lawful Basis
PERFORMANCE OF A CONTRACT - supporting your university applications; helping you understand published requirements and organise the information you provide for visa applications; managing your service agreement and payments.
LEGITIMATE INTERESTS - responding to enquiries you send us before any contract exists; keeping records of the guidance we have given; protecting our website against misuse; improving our services. Our legitimate interest is in operating and improving a consultancy business and in replying to people who contact us. We have weighed this against your interests and rights and consider this processing to be what you would reasonably expect.
CONSENT - sending optional updates about intakes, scholarships and our services, and processing any special-category data. You may withdraw consent at any time by emailing privacy@educonvoyint.com or using the unsubscribe link in any marketing message. Withdrawal does not affect processing carried out beforehand.
LEGAL OBLIGATION - retaining records required by tax, accounting and other applicable law.
We do not carry out automated decision-making or profiling that produces legal or similarly significant effects.
04Who We Share Your Data With
We share your data only with the following categories of recipient:
- Universities and colleges you are applying to, in order to process your application
- UK Visas and Immigration (UKVI) and equivalent immigration authorities
- Our representatives in Pakistan, who support students on our behalf
- IT and communications providers: our website host and platform (Vercel Inc.), our transactional email provider (Resend), and the email and messaging services we use to correspond with you
- Professional advisers and regulators, where legally required
All providers act under written data processing terms. We do not sell your personal data to any third party.
05International Transfers
Some of the providers above are located outside the United Kingdom, and our representatives operate in Pakistan. Your personal data may therefore be transferred to:
- The United States - our website host (Vercel Inc.) and transactional email provider (Resend)
- Pakistan - our representatives who support students locally
Neither country is covered by a UK adequacy decision for these transfers. Where we transfer personal data to them we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or the International Data Transfer Agreement, together with a transfer risk assessment, and we apply additional safeguards where that assessment indicates they are needed.

06How Long We Keep Your Data
ENQUIRIES THAT DO NOT LEAD TO AN ENGAGEMENT - 12 months from your last contact with us, then deleted.
CLIENT APPLICATION AND VISA RECORDS - 6 years from the conclusion of your engagement, reflecting the limitation period for contractual claims in England and Wales.
FINANCIAL AND ACCOUNTING RECORDS - 6 years from the end of the relevant accounting period, as required by UK tax law.
MARKETING CONSENT RECORDS - while you remain subscribed, and for 2 years after you unsubscribe, so that we can evidence when consent was given and withdrawn.
TESTIMONIALS AND PERMISSIONS - while the testimonial is published, and for 2 years afterwards.
You may request earlier deletion where this does not conflict with a legal obligation.
07Applicants Under 18
Some of the students we support are under 18. Where an applicant is under 18 we ask for a parent or guardian to be involved in the consultation, and we require parental or guardian consent before processing the applicant's data for anything beyond responding to an initial enquiry. We do not send marketing communications to anyone we know to be under 18.
If you believe we hold information about a child without appropriate consent, contact privacy@educonvoyint.com and we will delete it.
08Your Rights Under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request erasure of your data (the "right to be forgotten")
- Restrict how we process your data
- Receive your data in a portable format
- Withdraw consent at any time, where processing is based on consent
RIGHT TO OBJECT: separately from the above, you may object at any time to processing we carry out on the basis of legitimate interests, on grounds relating to your particular situation. If you object we will stop that processing unless we can demonstrate compelling legitimate grounds that override your interests. You have an absolute right to object to direct marketing, and if you do we will stop immediately.
To exercise any right, email privacy@educonvoyint.com. We will respond within one month. There is no charge, and we will not ask you to justify your request.
09Complaints
If you are unhappy with how we have handled your personal data, please contact privacy@educonvoyint.com first so that we can try to put it right.
You also have the right to lodge a complaint with the Information Commissioner's Office at any time, and you do not need to contact us first.

10Cookies and Similar Technologies
We use a small number of strictly necessary cookies and similar browser storage to make the website work - for example remembering your light or dark theme preference and your cookie choice itself. These do not require consent.
We also use optional analytics to understand how visitors use the site. These are not loaded until you accept them; if you decline, or ignore the banner, they are never loaded. You can change your choice at any time using the cookie settings link in the site footer.
